At RAB, we are committed to protecting your privacy and have professional respect for your personal information. This Privacy Policy explains how RAB collects, uses, and safeguards the information of our students in compliance with the Vietnam Personal Data Protection Decree (13/2023/ND-CP) and the EU General Data Protection Regulation (GDPR), specifically for those seeking to study in Finland.

2. DATA WE COLLECT

To provide professional study abroad consulting services, RAB collects information necessary for university/vocational-school admissions and visa processing for students and their accompanying or sponsoring family members:

  • Student Personal Data: Full name, contact information, date of birth, nationality, home address, and academic records (diplomas, transcripts, test scores), and other necessary information.
  • Family Member Data (Spouses and Children): If family members are joining the student or are required for visa applications, RAB collects their names, dates of birth, nationality, relationship to the student, and passport details.
  • Sensitive Personal Data: Passport copies, National ID numbers, financial/bank statements (proof of funds), Finnish Personal Identity Codes (if applicable), and health insurance details for all applicants.
  • Financial Sponsor Data: Contact and financial information of parents or legal guardians acting as sponsors.

3. LEGAL BASIS FOR PROCESSING

RAB processes data based on the following legal grounds:

  1. Contractual Necessity: To perform the consulting services requested by you.
  2. Legal Obligation: To comply with immigration laws which require family ties and financial capacity verification.
  3. Explicit Consent: Specifically for the handling of sensitive documents and the international transfer of data for all individuals involved.

4. HOW WE USE YOUR INFORMATION

Information regarding students and their family members is used strictly for:

  • Evaluating academic eligibility and managing applications to educational institutions in Finland.
  • Advising Residence Permit applications for the student and residence permits for family members.
  • Assisting with mandatory health insurance and family-friendly student accommodation bookings.
  • Providing updates and counseling regarding family reunification and relocation.

5. SHARING YOUR DATA WITH THIRD PARTIES

To fulfill our services, RAB shares the minimum information necessary with specific third-party organizations:

6. DATA STORAGE AND SECURITY

RAB implements the following protections:

  • Digital Security: Data is stored on password-protected devices and encrypted cloud storage with access limited to the assigned consultant.
  • Messaging Policy: Documents sent via Zalo or Email are transferred to secure folders, and sensitive files are deleted from chat histories.
  • Physical Security: Hard-copy documents (e.g., marriage or birth certificates) are kept in locked cabinets within our HCMC office.

7. INTERNATIONAL DATA TRANSFERS

By using RAB’s services, you and your family members explicitly consent to the transfer of personal data from Vietnam to Finland

8. DATA RETENTION

  • Successful Applicants & Families: Data is retained for 5-8 years for alumni support and legal audit compliance.
  • Inquiry-only Applicants: Data is retained for 2 years before deletion.

9. YOUR RIGHTS

Under Vietnam and EU laws, students and their adult family members have the right to access data, request corrections, withdraw consent, or request erasure. Parents or legal guardians may exercise these rights on behalf of their children.
